GENERAL SUMMARY/ OVERVIEW STATEMENT:
Provides management and oversight, under department guidance, of the Division of Sleep Medicine (DSM) volunteer subject recruitment office. Responsible for supervising and monitoring recruitment staff; hiring, training, and orienting new staff, and the operations of the DSM recruitment effort.
Provides support for clinical research activities, under department guidance: making independent judgment, in concert with the Principal Investigator, of the suitability of potential participants for clinical studies; developing and implementing strategies for recruiting, advertising, collecting and organizing subject data; scheduling subjects for study visits, performing telephone screening, clinical tests such as ECGs; maintaining and updating data generated by the study.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Note: Allocation of time to the various responsibilities are approximate and may vary.
Responsible for the supervision of the DSM recruitment staff. This includes ensuring all staff follow BWH and DSM procedures and guidelines. ensuring regulatory requirements are met (i.e. IRB, HIPAA, NIH). conducting audits of the currently active subject files and the process that coordinators are using to recruit and screen subjects. assisting in the hiring, firing, evaluating and disciplining of recruitment office staff.
Responsible for weekly staff meetings to ensure compliance with recruiting procedures, polices and practices.

Coordinates scheduling of inpatient studies at the Harvard University Clinical Translational and Science Center (CTSC) or other locations. Responsible for the timely preparation of payment requests for physicians, psychologists and other outside agencies related to the inpatient studies

Responsible for writing, maintaining, and collecting approval of a Recruiting and Screening Manual, including Recruitment Guideline Manual and the updating of reports, staff update/status/actiwatch, and advertising. Responsible for recruiting materials (e.g., actiwatch) inventory and repair. Responsible for writing, maintaining, and collecting approval of a Recruiting Supervisor Manual

Acts as a liaison among internal and external stakeholders. Including but not limited to Project Leaders, principal investigators, CTSC staff, research assistants and other professional staff with relation to screening and recruitment of study subjects between recruitment staff and Project Leaders at weekly DSM meetings.
Ensuring project timelines are followed for each study¿s subject enrollment needs and attempting to identify and troubleshoot problems to this process before they become major obstacles.

Responsible for, training and orienting recruitment staff. This includes: ensuring new employee training and orientation procedures are up-to-date, training and orienting new staff, ongoing training is provided to current staff, all training is documented.
Works with Project Leader(s) and other members of DSM to determine how recruitment workloads are assigned, and has input in decisions to increase recruitment staff.

Coordinates and implementation, both internally and externally, of clinical studies. 3%
Initiates and maintains contact with study participants via telephone, email and/or mail. Responsible for screening applicants, ensuring they meet all appropriate criteria for the study, and in concert with the Principal Investigator make independent judgment as to the eligibility of the potential subject. May be required to perform clinical tests such as ECGs and psychological exams. Responsible for preparing payment request for human research subjects. 13%
Working in concert with the Principal Investigator and/or Project Leader develops and implements patient recruitment strategies. 1%
Develops, organizes and/or maintains human research subject information database for study. Required to input data, and present weekly reports. 1%
In conjunction with the Principal Investigator/Project Leader, develops and prepares research protocols including, design, data collection systems, IRB applications/amendments and annual reports. 1%
Assist the Principal Investigator and Project Leader with preparation for presentations, reports and written articles. 1%

Requirements
QUALIFICATIONS:
1. BS or BA or equivalent
2. At least three years experience in clinical or research setting with supervisory experience.
3. Sound independent judgment
4. Working knowledge and proficiency with the following computer software: word processing, spreadsheets, PowerPoint and email

WORKING CONDITIONS:
1. The work takes place in a busy academic/clinical/research office setting.
2. Busy administrative/clinical environment. Occasional intense periods of work can be associated with particular scientific deadlines (i.e. grant proposals, meetings).
3. May require carrying, and lifting of specimens and supplies and the pushing, and pulling cart of specimens or supplies.
4. Potential exposure through contact with biological specimens.
SUPERVISORY RESPONSIBILITY:
Responsible for the overall supervision of study staff and will hire, evaluate and discipline staff working on the project. Will orient and train new staff members. This position will oversee the research assistants who recruit study subjects. Provides interim recruitment functions when vacancies arise. Must be able to maintain a high level of discretion when dealing with confidential information pertaining to both staff and study subject information.
FISCAL RESPONSIBILITY:
Works with the Project Leader to determine placement, oversight and payment of advertisements.
