Operation Service Assistance

JOB DESCRIPTION

Job Title: Operations Assistant - Service Specialist Assistant Reports to: Operations Lead

Classification: Exempt / Full-Time Reg. Department: RLG


Summary:

Service Specialist or Operations Agents are responsible for the execution and service of all extended offerings of R+L Global logistics to its customers whereby expectations are exceeded both in services and costs. The operations assistant will provide support services to the operation agents, helping them achieve the company’s and customers expectations.

Responsibilities and Duties:

Operations focus
o Answer all incoming calls.
o Assist caller as needed or transfer call to the appropriate RLG team member.
o Follow up each day with delivered shipments and retrieve copies of the POD with all cost within 30 mins of the AFC standard to perform the service.
o Update system with POD information.
o Report any service failures or variances in service to the operation lead person.
o Call agents and carrier providers for updates throughout the day and update the system with notes.
o Assist with quotes when needed.
o Assure that all data entry is accurate, who pays, po, ref# etc.
o Complete customer setup sheets and send to accounting.
o Customer account setup.
o Adhoc functions as assigned.


Customer focus
o Answer all calls on the 1st ring
o Follow up with customers regarding quote received, compete log of quotes followed up on.
o Notify manger of any service failures and or unhappy customers in a timely manor
.

Qualifications:

High school diploma or general education degree (GED).
One year related experience and/or training; or equivalent combination of education and experience. (Preferred)
Knowledge of airfreight industry a plus. (Preferred)
Ability to read and comprehend simple instructions, short correspondence, and memos.
Ability to write simple correspondence.
Ability to effectively present information as instructed.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
