A prominent employer is looking to add an Office Admin/Receptionist to their North Austin based team. The Office Admin/Receptionist will be responsible for providing administrative, clerical, and receptionist support to department managers and staff.
ESSENTIAL JOB FUNCTIONS:
Greet and assist customers and visitors
Maintains and secures files and records
Manages office supply inventory
Answers phones and directs calls
Coordinates with service vendors for office equipment maintenance
Distributes mail
Handles shipping requests (US Postal Service, Fed Ex, etc)
Assists with scheduling and calendaring
Coordinates office events (birthday, anniversary celebrations)
Creating badges for new employees
Updates company information such as contact list, organization chart
May perform other duties as assigned consistent with current duties and responsibilities.
Fleet administrative tasks - To include managing files, ordering supplies, filing accidents, etc..
Make domestic and international travel including air, hotel and car rental, etc, arrangements for Executive Team. Ability to research and obtain lowest travel rates.
Organize meetings with local hotel managers and negotiate hotel rates.
Verify and edit for accuracy all expense reports.
Create and format documents electronically, including letters, memos, itineraries, status reports, presentations (PowerPoint), spreadsheets (Excel) and other related documents. Photocopies articles, project materials and other related support documentation.
Set up domestic and international audio conference calls.
OTHER JOB FUNCTIONS:
Performs other duties as assigned
Will assist with making travel arrangements
Maintains break room and conference rooms
Provides back up to other administrators when needed
KNOWLEDGE, EDUCATION, AND EXPERIENCE:
Minimum High School diploma, some college level course work preferred
Minimum 3 years office management experience
Intermediate in Microsoft Word, Excel, Outlook
Excellent written and verbal communication skills
SKILLS AND ABILITIES:
Ability to work in a fast paced environment
Excellent interpersonal and customer service skills
Effective written and oral communication skills
Strong multi-tasking and organization
Some switchboard knowledge
Ability to work well under pressure and with minimal supervision
Highly organized and process-oriented
Previous experience in travel planning preferred
Motivated self-starter with positive attitude
Professional demeanor, able to display solid judgment and tact

Pay rate: $15.00-$17.00 per hour Based on experience
Shift: Monday-Friday 8am-5pm
