The Administrative Assistant is responsible for providing administrative support in all areas of the department.
The Administrative Assistant must have good knowledge of and experience in alphanumeric filing systems; basic knowledge of computerized database functions; excellent organizational, time-management, and troubleshooting skills; precision; ability to master details; and ability to accomplish multiple tasks. Good oral and written communication skills are a must, along with ability to interact positively and cooperatively with co-workers. Must be able to function under time pressure and respond to close supervision in a positive manner. This position requires the satisfactory completion of a background check.
General Duties and Responsibilities:
1. Collects and distributes all incoming faxes and mail to assigned personnel in a timely manner ensuring that all applications or supporting documentation receive immediate and appropriate attention.
2. Collects and distributes all incoming faxed attendance sheets to the subsidy payment department thus ensuring that all child care provider payments are processed in a timely manner.
3. When necessary, calls potential problems to the attention of the appropriate subsidy coordinator or payment staff.
4. Sends follow-up emails to customers requested supporting documentation; respond to customer emails forwarding supporting documentation or asking for confirmation.
5. Assists Senior Management and other Subsidy Staff with special projects as requested.
6. Prepare purchase orders for supplies and maintain postage system ensuring adequate postage is available for mailing
7. Answering incoming phone calls from customers and provide information as appropriate
8. Retrieve all voice messages from the various voice mail boxes and distribute to Deputy Directors
Must have two years experience in clerical or administrative support.
Location: Comerica Park Area
Compensation: 11.5 - 12.50 hr.
