Assist with the scheduling, planning, programming and administration of 30 annual continuing professional conferences for the education foundation of a prominent membership Society of Certified Public Accountants in New York.
Responsibilities:
Working with sponsoring Society Committee, the position will manage all aspects of conference scheduling and planning to develop brochure information to meet production deadlines.
Assist in the securing of space with facilities based on conference schedule and conducts site inspections. Negotiate contract terms with meeting facility representatives, including room rental costs, minimum guarantee and cancellation policies
Participate with conference subcommittee or conference chair(s) and the Marketing Department in researching target audience for promotional efforts.
Manage all speaker relationships including confirmations, compile speakerspresentation materials, create conference reference manuals, coordinate travel and lodgings, special a/v requests.
Serve as the onsite liaison for each event and key coordinator with facility staff, attendees, speakers and committee and conference chairs. Manage efficient registration/check-in process, manual distribution and collection of evaluations.
Review and approve all speaker expenses and facility bills and forward for department approval and payment.
Qualifications
Broad-based knowledge of the meeting/hospitality industry
Ability to manage a project from inception to completion.
Proven ability to develop and maintain strong professional relationships with vendors, colleagues and volunteers
3 5 years of experience in meeting planning activities
College degree required
