Position Summary:
The Program Coordinator for Admissions will coordinate and perform specialized services and activities for the Admissions office at Pierce College Puyallup. This position is the primary contact to students, staff and the public and will use independent judgment to interpret and apply the complex procedures, policies, and guidelines as related to Admissions and Residency. This position reports to the Director of Enrollment Services at Pierce College Puyallup.
Qualifications:
Required Knowledge, Skills & Abilities:
One (1) year of demonstrated experience performing data entry with a high level of accuracy and proven ability to review and verify data.
One (1) year of experience maintaining records and filing systems to document and/or update information in written or electronic form in order to maintain accurate and complete records.
Skilled in using MS Office applications (Word, Excel, Outlook).
Strong critical thinking and problem solving skills including the ability to evaluate and explain complex information.
Strong organizational skills including prioritizing, keeping track of information or work in progress, ensuring accuracy, multi-tasking, flexibility, and handling interruptions appropriately.
Communication Skills:
o Ability to communicate in a collaborative team environment both verbally and in writing.
o Exceptional customer service skills with the ability to place a high priority on professional excellence.
Ability to work independently and as a member of a team.
Willingness to provide notary services to students, staff, and general public.
Ability to adhere to the highest standards of integrity and honesty and maintain confidentiality.
Desired:
Two (2) years experience with registration or admission records management in a higher education environment.
Related college coursework.

Essential Functions:
Admissions: Act as primary contact for Admissions program and articulate specialized program information pertaining to Admissions policies and procedures in response to inquiries from students, staff, faculty and the general public; confer with outside agencies or other district-wide campus staff about Admissions program content, activities and services; problem solve day-to-day Admissions issues and recommend alternative courses of action to resolve issues; process paper and web admissions forms using Student Management System (SMS) and Online Web Admissions Center; review admissions forms for completeness and accuracy; make corrections/changes as required; place holds as indicated for missing or insufficient information; maintain and monitor the pending folder to ensure that records are completed in a timely manner; document Admissions/Residency office procedures; maintain paper and electronic departmental manuals and reference materials
Residency: Follow established policies and procedures to determine student residency status for tuition-paying purposes; maintain and keep current on specialized laws pertinent to residency, citizenship and visa categories; coordinate with students regarding the documentation required for a residency review; conduct residency audit reviews and change tuition fee pay codes; confer with others, such as Supervisor and/or International Education staff, regarding complex residency issues and make appropriate referrals.
Office Support: Attend and participate in college and district committees, meetings, conferences and/or trainings related to Admissions/Residency as requested; maintain filing system and ensure records are filed accurately; track and maintain adequate supplies such as forms, envelopes, letterhead, welcome guides, residency questionnaires; coordinate weekly mailings; track and verify returned correspondence.
Prepare and Maintain Reports/Records: Run system reports and use electronic spreadsheets to track program data and prepare statistical information that tracks residency reviews and the number of web/paper admissions forms received, accepted, denied, and/or the number of applicants enrolled or not enrolled; use Document Imaging software to scan and index admissions-related records such as official transcripts, admissions forms, and residency documents; purge records according to retention schedule and departmental procedures.
Enrollment Services: Actively contribute to achieving the goals of Student and Enrollment Services; assist with Enrollment Services phones, filing and other tasks as necessary; manually or electronically maintain confidential and sensitive documents, data and records; prepare documents, spreadsheets and/or run reports as requested; assist with maintaining the calendar of Enrollment Services Director.
Veterans Services: Act as the primary backup when the Veterans Coordinator is unavailable or out of the office; assist the Veterans Coordinator in responding to inquiries by phone, email and in person; accept and review forms; schedule appointments for Veterans Coordinator as needed.
Notary Services: Provide notary services to students, staff, and general public.
Miscellaneous: Perform other duties as assigned.

Terms of Employment:
This position is a full-time (40 hours per week) overtime eligible classified position located at Pierce College Puyallup. The work hours are 8:00 a.m. to 6:00 p.m., Monday and Tuesday; 8:00 a.m. to 5:00 p.m. Wednesday and Thursday and 8:00 a.m. to 3:00 p.m. Friday. Actual hours may vary and may include occasional travel and travel between Pierce College campuses and sites.
The starting salary is $29,784 annually with periodic increments to $31,956 annually. A higher starting salary may be authorized and is dependent upon applicable experience/education.

Physical Work Environment: Work is performed in an office environment.
