Office Manager & Project Assistant to the COO

In this role, your time will be split between responsibilities directly supporting the Chief Operations Officer on special projects, answering customer calls, and general small office management. You will receive a wide variety of projects of varying length and complexity with competing deadlines.
The most important quality of the successful applicant is the ability to truly multitask: handling multiple competing deadlines on important and time-sensitive projects while dealing with continual interruptions from phone calls, colleagues, etc. If youve ever said to yourself "I cant get my projects done with all these interruptions," then this position is not for you.
Responsibilities include:
Work directly for the COO of a small firm with 6 managers in an office overseeing 150 employees.
Receive a wide variety of projects of varying length and complexity with competing deadlines.
Work on programs directly affecting the results of a multi-million dollar organization.
Directly assist the project manager of many process roll-outs in all departments of the company.
Phone coverage for client calls; deal with both internal & external contacts; relay messages and forward calls to appropriate department managers.
Coordinate and schedule meetings, prepare materials, take minutes.
General small office management many small tasks on an as-needed basis.
Work for a team that is very supportive, fun, and loves to teach.
Job Duties:
Direct assistant to the Chief Operations Officer
Complete special projects as needed
Create spreadsheets utilizing Microsoft Excel
Produce correspondence and documents utilizing Microsoft Word
Answer or refer customer inquiries
Demonstrate a customer-focus mentality
Phones / reception
Skills / Qualifications:
Strong MS Office skills Word and Excel. PowerPoint is a plus
Detail oriented and organized
Ability to multi-task, prioritize and have a sense of urgency
Must be a team player that works well under pressure
Good communication skills, articulate and resourceful
Self-motivated with a very positive, "can-do" attitude, team player
Responsible, reliable, flexible
Experience as an office manager or admin assistant, or a similar role with heavy MS Office use is a plus

Compensation:
$14 per hour.
