This is ONE job that consists of THREE interconnected parts:
Executive Assistant: I am a busy dot-com CEO who works from home, and I need an Executive Assistant to help with personal and business bookkeeping tasks (Quicken and QuickBooks), picking up and sending mail, organizing files, scheduling appointments, create invoices, balance bank statements, depositing payments, paying vendors, making sure my office is tidy and organized, and doing whatever else needs to get done to help me keep my business life running smoothly.
Personal Assistant: In addition to the business-related tasks above, I also need a Personal Assistant to drop off and pick up dry cleaning, manage non-business finances, plan and manage my schedule, make travel arrangements, pick up lunch, help me with gift shopping, help put up Christmas decorations, help clean out the garage, change light bulbs, take me to the airport, help me drop off my car at the dealer for an oil change, and doing whatever else needs to get done to help me keep my personal life running smoothly.
Family Assistant: We are busy parents with four kids between the ages of 8 and 12 (Brady Bunch-style, so the number of kids in the house at any given time fluctuates between one and four), and we need help shuttling kids to and from school and various activities, as well as periodically watching them while we run errands or go on our weekly date night. We are both "at-home" parents, so we arent looking for a Nanny to raise our kids for us, but we do need someone who can help us shuttle them to and from various activities, do an occasional run to the grocery store for milk, help keep the kitchen generally tidy until the cleaning ladies arrive on Monday morning, and doing whatever else needs to get done to help us keep our family life running smoothly.
Did you notice what all three things above have in common :) They all end with "whatever else needs to get done" to keep that part of our lives running smoothly. Well never ask you to do anything illegal, unethical, demeaning, or embarrassing, but pretty much anything else is fair game. :)
Work Schedule
This position will require some flexibility in your schedule, but the "standard" schedule is three days a week (Mon, Wed, Fri) averaging 20 hours per week. Some weeks may be slightly more, and some weeks may be slightly less, depending on our needs. The "standard" schedule will be:
Mondays: Start work at 10am (but occasionally at 9am if were out of town and need you to let the cleaning ladies in the house) and do Executive and Personal Assistant tasks until approx 3pm. At 3pm, switch to Family Assistant mode and help pick up kids from school, and/or drive to and from karate class in Renton. Workday ends at 6:30pm.
Wednesdays: Start work at 2pm and do Executive and Personal Assistant tasks until approx 3pm. Switch to Family Assistant mode (driving kids to activities, etc.) and be back at the house by 7:30pm, then stay there until we get home from our date night, generally between 10-11pm.
Fridays: Start work between noon and 2pm (depending on what Executive and/or Personal Assistant tasks still need to get done that week) and do office tasks until approx 4:45pm. At 4:45pm, drive from Maple Valley to Tacoma to drop off one of the kids for the weekend, after which your workday is finished and you can go directly home from Tacoma.
You may be occasionally asked to work on a Saturday (i.e. for a special event), and rarely (if ever) on a Sunday, but always with ample advance notice.
Flexibility is important, as there will be occasional exceptions to the above schedule.
Required Skills and Experience
For the Executive Assistant portion of this job, you must have strong computer skills, including Microsoft Outlook, Internet Explorer, Quicken/QuickBooks, and doing web searches for information, addresses, phone numbers, etc. You must also have excellent written and verbal communications skills, especially in email, as you will be representing me to business clients, partners, and associates.
For the Personal Assistant portion of this job, you must be highly organized, dependable, flexible, self-motivated, and able to create structure in an unstructured environment.
For the Family Assistant portion of this job, you must have experience working with children (or raising your own). You must own a safe and dependable car, have valid insurance, and have a clean driving record. You must also agree to a full background check, including a check of your driving record, as well as random drug tests.
All three parts of this job are equally important - you must have skills and experience in all areas to be considered. If youre fresh out of high school and/or have no work experience, Im sorry... its not going to be a fit. Please do not apply for this job. :)
Pay, Perks, and Particulars
This is a contract position, and you will be provided a 1099-MISC at the end of the tax year. Compensation is $15 an hour, plus an annual 7.5% bonus. You will also be provided with a mobile phone (for work calls only), and reimbursed based on mileage for your fuel usage. You will also be required to sign a confidentiality agreement. Workplace is a smoke-free environment.
PLEASE READ THIS PART
We are looking for someone who can make at least a 5-year commitment to this position, and who will be satisfied with a part-time position for that length of time.
This would be a perfect job for a mom with grown (or almost-grown) kids who is looking to bring home some additional income.
We are NOT looking for someone who only wants a part-time job until they can find a full-time job, or only wants a part-time job until they finish school and can get a different job, or only wants a part-time job until the economy gets better. Those jobs are out there, but this is not one of them.
We need someone who can fill this job for a long time, that our kids can grow up knowing, and who can become an honorary part of the family that we can depend on.
We are fun, optimistic, positive people, and thats the type of people we like to spend time with both personally and professionally.
