Position Summary:
The Admissions Program Coordinator performs the specialized services and activicites of Admissions at Pierce College Fort Steilacoom (Lakewood). Responsibilities include serving as District contact for Dental Hygiene and Veterinary Technology Programs; processing admissions applications, interpreting and applying State and College guidelines regarding residency; and assisting in the operations of the Admissions Office. This position reports to the Admissions and Evaluations Supervisor.
Qualifications:
Required Knowledge, Skills & Abilities:
Two (2) years experience working in an office environment providing support to or coordinating a program.
Experience interpreting, applying and explaining policies and procedures.
Demonstrated experience in maintaining records and performing data entry with a high level of accuracy and attention to detail.
Skilled in using MS Office applications (Word, Excel, Outlook).
Strong critical thinking and problem solving skills including the ability to evaluate and explain complex information.
Strong organizational skills including prioritizing, keeping track of information or work in progress, ensuring accuracy, multi-tasking, flexibility, and handling interruptions appropriately.
Communication Skills:
o Ability to communicate in a collaborative team environment both verbally and in writing.
o Exceptional customer service skills with the ability to place a high priority on professional excellence.
Ability to work independently and as a member of a team.
Ability to adhere to the highest standards of integrity and honesty and maintain confidentiality.
Desired:
Two (2) years experience with registration or admission records management in a higher education environment.

Essential Functions:
District Special Admission Programs: Advise applicants/students and the general public on program content, policies, procedures, and activities; ensure program activities meet established goals; coordinate and maintain records/folders for applicants; receive and track all applicant documents; perform residency determination; perform audits of files; read, assess and evaluate documents to ensure program requirements are met; screen and evaluate transcripts for course equivalencies and application to program requirements; track payments and coordinate with cashiers and financial aid offices; perform monthly audits or payments; use data query tool to create reports and track application selection; compose correspondence; coordinate communications with applicants and program staff; prepare annual program statistical reports; attend program meetings; coordinate and/or make recommendations for changes to Program Applicant Handbook and office procedures; maintain and update policy and procedures manuals.
Admissions: Receive and process general student Admissions Forms and transcripts; perform data entry using Student Management System (SMS); coordinate student communications to include acceptance packets, requests for information, and bulk mailings; coordinate job scheduling through SMS for verification of student data; review for accuracy and make corrections as required; determine residency; perform residency audits; assist with quarterly and annual records purging; document Admissions/Residency office procedures; maintain paper and electronic departmental manuals and reference materials.
Customer Service: Assist students, the general public and College personnel with Admissions and College policies and procedures; interpret and follow established guidelines, policies and procedures; provide general information to students; maintain a general knowledge of other College departments in order to make appropriate referrals; adhere to FERPA policies.
Admissions Office Support: Perform residency determinations for tuition paying purposes; interpret and apply State of Washington laws; recommend alternative courses of action; keep current on changes in residency regulations, laws and procedures; articulate and disseminate to students; staff, and the public; coordinate with students regarding the documentation required for a residency review; conduct residency audit reviews and change tuition fee pay codes when approved; receive, code, and process official transcripts; use Document Imaging software to scan and index admissions-related records such as official transcripts; admissions forms, and residency documents; assist in training and work assignments for part time staff and/or work study students; attend and participate in college and district committees, meetings, conferences and/or trainings related to Admissions/Residency as requested.
Miscellaneous: Perform other duties as assigned.

Terms of Employment:
This position is a full-time (40 hours per week) overtime eligible classified position located at Pierce College Fort Steilacoom (Lakewood). The work hours are 8:00 a.m. to 6:00 p.m., Monday and Tuesday; 8:00 a.m. to 5:00 p.m. Wednesday and Thursday and 8:00 a.m. to 3:00 p.m. Friday. Actual hours may vary and may include occasional evenings.
The starting salary is $29,784 annually with periodic increments to $38,556 annually. A higher starting salary may be authorized and is dependent upon applicable experience/education.

Physical Work Environment: Work is performed in an office environment.
